General Who are the members of a committee or expert group?GeneralThere are 4 types of members:Individuals – appointed in a personal capacity, acting independently and expressing their personal views.Individuals – representing a common interest shared by stakeholders in a policy area. They’re normally appointed based on suggestions from stakeholders (e.g. through a call for expression of interest). They don’t represent stakeholders.Organisations – private or public bodies (e.g. companies, associations, non-governmental organisations, trade unions, universities, research institutes, EU bodies and international organisations). They either nominate permanent representatives or appoint representatives as and when needed.National authorities of the Member States (at regional and local level). Like organisations, they appoint people to represent them in the expert group or committee. What’s a delegation?GeneralIt’s a list of participants representing a private or public organisation at a meeting. Delegation members do not have to be the same for each meeting of the committee or expert group. I want to access AGM but the link in the email opens a page called ‘EU LOGIN’GeneralTo use AGM, you first need to create an EU LOGIN account. After you’ve signed up to EU LOGIN, you’ll receive your username and password. Use this to access AGM. AGM will send important information to the email address you used to create your EU LOGIN account. Preparing the list of participants What does a Correspondent do?Preparing the list of participantsAs a correspondent, you’re the contact point for the member of the committee or expert group who’s been invited to a meeting. Use AGM to tell the Commission the names of the people in your delegation (people from your organisation who will attend the meeting). Enter the list of participants in AGM. You’ll then receive an email containing the invitation, the meeting agenda and other information about the meeting. The email also contains a link to AGM granting you access as the delegation’s Correspondent. Be careful who you share this link with – it grants anybody access as correspondent. Enter each participant’s details in AGM and add them to the list of participants from your delegation. Once you’ve finished the list, send it to the meeting organiser. As correspondent, you’ll receive various notifications about the meeting by email and in AGM. I’m a Correspondent, but I also want to attend the meeting. Should I ask someone else to be Correspondent?Preparing the list of participantsNo, it’s fine to be both a Correspondent and a Participant. Here’s how:First, add all the Participants from your delegation (including yourself).Click Send participants when your delegation is complete.You’ll receive an email telling you that you’ve been put forward as a Participant (all the participants on your list receive this email).The Meeting Assistant validates the list.You’ll then receive 2 emails. One is addressed to you as the Correspondent and tells you the list has been validated. The other validates you as a Participant.Open the link in the second email and accept the invitation. The meeting is now displayed in your list of meetings, with you as a Participant. The meeting assistant has contacted 2 or more Correspondents about the same meeting. How can I be sure one of them hasn’t submitted the list of participants?Preparing the list of participantsThere may be more than one Correspondent per delegation (a delegation is a list of participants representing a private or public organisation at a meeting.). But only one Correspondent – the first one to respond – can submit the list of Participants. As soon as one Correspondent submits a list, the others can see it – so there’s no risk of duplication. I’ve submitted the list of participants. Can I still edit it?Preparing the list of participantsNo. Once you’ve sent the list off, you can’t edit it any more. Also other Correspondents of your delegation cannot edit the list anymore.If you need to make any changes, contact the meeting organisers. If the delegation hasn’t yet been validated, the meeting organisers can send it back so you can add another participant. If the delegation has been validated, the meeting organisers can update the delegation by adding the participant.
